Preparing scholarship documents in Karnataka starts with identifying the scheme you will apply for. Make a working checklist, not a universal requirement list

1. Organise identity details and existing account records

NSP requires One Time Registration using Aadhaar or an Aadhaar Enrolment ID. OTR is a lifelong 14-digit identifier, not an annual scholarship application. If you already have one, keep it accessible and follow the portal’s instructions for using it rather than treating registration as a new yearly task.

Compare your name and other identity details across the records you will use. If there is a mismatch, identify which record needs correction and approach the relevant issuing authority or institution. Keep account details separate from document copies, and do not share your password with someone merely helping you prepare scans.

2. Collect academic records and registration identifiers

Gather the academic records relevant to your current course and the qualification preceding it. Karnataka departmental material identifies previous marks or pass certificates and study certificates among documents used for certain benefits. Your selected scheme determines which examination records are necessary; uploading every marks card is not automatically useful.

Write down your SATS, SSLC or university registration details where applicable. Check them against institutional records rather than relying on memory. If your course name, year of study or registration information is incorrect in the institution’s records, ask the office responsible for student data how it should be corrected.

3. Check income and category certificates carefully

An income or category certificate should be collected because the scheme requires it, not because every scholarship uses the same eligibility test. SSP covers separate departmental schemes, and NSP also distinguishes merit-based, welfare-based and other targeted awards. There is no single income limit or certificate rule covering all these routes.

Where the application requests an RD number, copy it from the applicable certificate and check every character. Read the scheme instructions for any certificate-period or format requirement. If an existing certificate does not meet those instructions, arrange the appropriate correction or replacement before completing that part of the application.

4. Prepare admission and benefit-specific evidence

Keep your admission order and current study information together. Karnataka’s departmental material distinguishes scholarships from fee reimbursement, hostel assistance and technical or medical education benefits. Evidence supporting one benefit may not establish eligibility for another, so organise documents according to the assistance you are actually seeking.

RGUHS students should pay particular attention to institutional admission data. Its 2026–27 instructions require colleges to supply SSP IDs and correct KEA numbers where applicable. If those details are missing or wrong, contact your college: a readable document upload alone will not correct an inaccurate university admission record.

5. Create readable files and identify attestation needs

Scan documents so that names, registration numbers, certificate details and issuing information are readable. Use descriptive filenames, such as “previous-year-marks” or “admission-order”, to reduce selection mistakes. Follow the portal’s stated file format and size requirements when uploading rather than assuming that the same settings work everywhere.

Check whether any document needs e-attestation. Karnataka’s historical SSP guidance includes this requirement for applicable documents, but it should not be extended to every current application. 6. Separate fresh application papers from renewal updates

For a fresh NSP application, prepare your OTR details and the selected scheme’s required documents. For renewal, reuse your OTR and check the renewal requirements before assembling updated records. A saved identifier or an earlier award does not replace the application required for the current academic year.

For SSP, keep your existing login and previous application details available. Institutional guidance supports renewal through an existing account with updated information, but follow current departmental instructions for your application. Make a short list of what has changed, such as your study year or academic results, and prepare the corresponding evidence.

7. Review the folder before submission and tracking

Before submitting, compare entered details with the supporting records. Check the selected scheme, fresh or renewal route, course, academic year and document attachments. Save the submission acknowledgement and application reference if the portal provides them, along with copies of the documents you actually submitted.

For NSP applications from 2024–25 onwards, use the OTR application login to check application status. Payment tracking is separate through PFMS. If the issue concerns an SSP ID or academic data, ask your institution to check its records; this is a different problem from preparing or uploading a certificate.
